TScore lets you use 'smart' entry forms that each club can fill in with their entrants' details.
TScore entry forms are Excel spreadsheets that have a high degree of automation, so that you can be sure they are correctly filled in.  You can set up each club's contact information so that they just need to pick their name from a list.  Each competitor is assigned to the correct age group simply by entering their date of birth.  This means that should you need to alter the groups later (combining or splitting groups to balance numbers for example), the age groups can be recalculated automatically.
Entry forms also contain lines for the clubs to nominate officials, with the option of full or half-day attendance.
All of this information is loaded into TScore - and can also be used to apply incremental changes.
You must use the supplied Excel Entry Forms for entry processing to work, so your first task is to prepare these and send them out to all the clubs taking part.

Many of the cells provide 'pull down' lists of options, so it is easy to complete the forms consistently.  When filling in the form, each club can just pick their name from the  list of clubs - the details you have previously set up will be copied in automatically from the 'Clubs' worksheet.
Similarly, the grades, gender and teams have picklists defined on the 'Lists' worksheet.

Automatically evaluated cells are 'locked' so they cannot be inadvertently changed.

Important!
You must set the YEAR on the front worksheet for the age group calculations to be correct.  The sheets assume that age groups are defined by the calendar year of the date of birth.  If you need to use the academic year instead, please use the ‘Schools Competition’ template entry form provided with TScore version 9.5.17 and later.

Set the Event Name, Venue and Date on the 'Entries' worksheet, and the return address on the 'Payment' worksheet.  If you need to change the cost per competitor, simply alter cell E6 on the payments sheet.

Note that Excel must be used to edit this form – ‘Open Office’ gets it wrong!

You should set up each club's details, so that they can be applied with a single selection from a picklist.

There is a separate worksheet for the team manager to sign their agreement to the competition rules and regulations.  This has a space for an address to return the printed, signed hard-copy.  The address is positioned to align with a standard 'window' envelope for convenience.
